Client portal software

A client portal your clients actually log into.

Most client portals are a file-sharing folder with your logo on it. This one shows the work — who is on their account, the hours logged against it, the documents still outstanding, and the invoice. Branded, invite-only, and free for your clients.

What your client sees when they sign in. Illustrative data — click the tabs.

Why this matters

Your client is buying hours they cannot see.

That is the whole trust problem of a service business. They approve an invoice for work they have to take your word for, and every month somebody on your side loses an afternoon assembling a status update to justify it. A portal ends both halves of that.

Where the category falls short

Everyone does half of this

The tools that manage your team don't know your clients exist. The tools that manage your clients don't know your team exists. Firms end up paying for both and stitching them together by hand.

Categories, not specific products — feature sets move, and we'd rather this table stay true than stay flattering. If a tool you're comparing does something in row four, tell us and we'll correct it.

You stay in control

Opening a portal is not opening your books

Visibility is set per client and per module. The default is that a client sees nothing until you decide otherwise.

Scoped to one account

A client sees the people assigned to their account and nothing else. Your other clients, your margins and your internal notes are not hidden behind a setting — they are simply not part of that client's scope.

Per-module toggles

Show one client attendance and invoices but not task detail. Show another everything. It is a switch per client, per module — not one global setting you have to live with.

Salary never crosses over

Clients see hours and attendance, never pay. What a person costs you is on the employee record, which lives entirely on your side of the wall.

Invite-only, always

You add each client by email and they set their own password. There is no open signup on your portal, so an account you did not create cannot exist.

Your brand, not ours

Your logo and colours on hiremaze.in/your-firm. Point your own domain at it on a paid plan.

Revoke in one click

An engagement ends, access ends. Revoking a client's login does not delete the record — the history stays with you as your audit trail.

Who uses it this way

The same portal, four different conversations

Recruitment & staffing

“How is our mandate going?”

Your client opens the portal and sees which recruiters are working their roles, the hours logged this month, and where each candidate sits in the pipeline. The weekly status call gets shorter, and the invoice stops being a conversation.

IT services & agencies

“Who's actually billable this month?”

The people on the client's account, the tasks moving, and the hours behind the retainer — in the client's own login, not a slide you rebuild every month. Scope creep becomes a shared document rather than an argument.

CA & legal practices

“I already sent you that.”

Document requests live in the portal with a state. The client can see exactly what is still outstanding and upload it there, with a review step so a wrong file doesn't quietly count as done. No more three-way email threads about a missing PDF.

Any service business

“What am I paying for?”

If you bill for people's time, this is the question that decides whether you get renewed. Answering it with a login instead of a spreadsheet changes how the relationship feels — and it costs you nothing per client.

Questions

Client portals, specifically

What is client portal software?
Client portal software gives each of your clients a private, branded login where they can see the work you are doing for them instead of emailing to ask. In HireMaze that means the people assigned to their account, the hours logged, the tasks in progress, the documents you have requested, and their invoices.
Can one client see another client's information?
No. Every client is scoped to their own record. A client only ever sees the people assigned to their account and the documents and invoices raised against it. The portal runs on the same permission system as the rest of HireMaze rather than a second one bolted on beside it.
Can I put the client portal on my own domain?
Every firm gets a branded address at hiremaze.in/your-firm with your logo and colours on the portal. Pointing your own domain at it is available on paid plans.
What can I hide from a client?
Visibility is set per client and per module. You choose whether a given client sees attendance, task detail, documents or invoices. Salaries, internal notes, your other clients and anything you have not explicitly shared are never visible.
Do my clients have to pay or install anything?
No. Client logins are free and unlimited, and the portal runs in a browser with nothing to install. You invite each client by email and they set a password. There is no open signup, so nobody can create an account you did not invite.

Stop assembling status updates by hand.
